So the real question many advisors and administrators are asking today is:

Traditional yearbooks require costly printing, storage, and distribution.
         Yearbook costs have been increasing faster than inflation for several reasons.
         First, paper and printing costs have risen significantly over the past decade. As digital media replaces many printed products, fewer companies manufacture the paper and ink used in printing books. With fewer suppliers, prices naturally rise.
        Second, yearbook sales themselves have been declining. The current generation of students — Generation Z — grew up entirely in a digital world. Because of that, printed products often feel less relevant to how they capture and share memories. Industry data suggests print yearbook sales have declined between 4% and 8% per year for more than a decade.
        When fewer books are sold, yearbook companies often raise prices to make up the difference — which unfortunately makes yearbooks even harder for schools and families to afford.
        But… the above issues are not the only reason yearbook prices are so high.
        The uncomfortable truth is that greed plays a part in why students (families) are paying so much. The reality is that print yearbook companies know that graduating is a highly celebrated event in young people’s lives. The companies in the schoolhouse industry recognize parents, who typically pay for graduation items, tend not to pinch pennies when it comes to milestone events. So… why not charge a little more?
        And another harsh reality is that even if parents decided to ‘shop around,’ they can’t! The price of graduation products, caps & gowns, diploma cases… yearbooks, are negotiated with the school six months or more before graduation. And with yearbooks, as the above has shown, the fewer copies a school orders, the more the per copy cost is. 
       Until there is a yearbook company that will charge the same price regardless of the number of copies, prices are going to be caught in the above pricing loop. The good news is that there are a few very small print yearbook companies that are doing that. 
      The bad news is that they are unfortunately caught in the material expenses, the labor expenses and the manufacturing expenses the more, shall I say, profit motivated companies are.     But there is one company that avoids this entire pricing loop altogether. We’ll get to that in a moment.

Print Yearbooks are complicated and difficult to create.
        One of the biggest factors affecting yearbook cost is quantity.
        Printing companies charge significant setup costs to produce a book. Because of this, the fewer copies a school orders, the higher the price per book becomes.
        For example:
       A school ordering 50 copies of a 72-page yearbook might pay about $3,200 total, which equals $64 per book.
      However, if the same book is ordered in 500 copies, the total cost rises to about $14,952, but the price per book drops to $29.91.
      This pricing structure creates a strange dilemma for schools. Ordering more books lowers the price per book, but ordering too many risks ending up with unsold inventory.

      Back in the day (I’ve been selling yearbooks for over 40 years), the hidden costs could be astronomical! What a black background, that’s gonna cost you. You want how many pictures in your book… that will be extra. Ink was expensive then, black backgrounds and too many pictures (they never told you how many was too many) takes a lot of ink.
       Black lines around pictures look rich. They were called ‘close register’ then. That meant a specialist with a razor would have to strip in a new negative, by hand! Yes, that is extra. Make corrections on your proofs, caching! 
       A full color cover! Seven hundred dollars! I could go on, this thread makes me nostalgic. But not in a fun way. I had to explain why a schools yearbook bill was several thousand dollars higher than they were expecting.    
      The ‘hidden costs’ today are far more subtle. Shipping charges often surprise schools and add significantly to overall yearbook print costs. Sometimes the company (or sales rep) never told the school that shipping wasn’t included. 
    Depending how far the school is from the plant and how many copies/pages there are (weight and size are how shipping charges are figured) the cost can be from $300 to $3000. Surprise! Please ask your company/sales rep about shipping.
     So, unless you are doing a particularly complicate cover design (embossed, metalique, etc.), there is little a print yearbook company can upcharge you. Unless… you change your order without being given complete pricing at contract signing time.
     You ordered 550 copies, for example. The per copy price based on the number of pages and copies comes out to $79 each. That comes out to a total… LESS SHIPPING, to $43,450. But, few Yearbook Advisors will do that math. So, the reality is that they don’t know how much the per copy is.
     Suddenly, you, the Yearbook Advisor, realizes you need 26 extra copies. Yay, you sold all the copies ordered and then some. You tell the company/sales rep to increase your copies, often without asking how much that would add to the bill (VERY few of my schools ever asked that question… I told them anyway).
     Then, at the end of the year, they yearbook bill arrives. If those extra 26 copies are broken out as a separate line item, you see that they cost an extra $2470. Or, your total bill… LESS SHIPPING, is $45,450. 
     That is $95 EACH! What happened to $79 each. And remember, way above, that we learned that the few copies you order, the more expensive each one is (the major cost of printing a yearbook is the setup cost, which is amortized over few copies or more copies). Well, the inverse is also true. The more copies you order, the LESS expensive each one is. So, the actual cost of $79 per copy should be around $72 per copy. But you were billed $95 per copy?
      That’s simply how the traditional print yearbook pricing model works. You must pay annoyingly close attention to the yearbook finances. And sometimes, they can get very complicated. And sometimes, you just want to put your efforts into your students. And sometimes, there is a better solution that doesn’t require being a CPA to keep your yearbook finances from getting complicated.
