But today’s students live on their phones, communicate through video, and store their lives in the cloud.

Which raises a fascinating question:

Is the traditional yearbook becoming obsolete?

A Digital yearbook is a thing. A Google search for ‘Digital Yearbook’ will return hundreds of results. I found what that what Google thought was a Digital Yearbook was very interesting.
Twenty-three percent of the results were for… PRINT YEARBOOKS! Eighteen percent were for software used to create a… PRINT YEARBOOK! Sixteen percent were for… PRINT YEARBOOKS digitized to be viewed on a smart device, most of these results were hosted by libraries who digitized past yearbooks. The rest were for PDF ‘Digital Yearbook.’

Yikes… let’s unpack this. A huge percent of the search results was for the exact opposite of a Digital Yearbook. Print yearbooks are just not digital, even when you sneak a QR code onto one of the pages, IT’S STILL NOT DIGITAL.

The yearbook program used to create a print yearbook is digital. Print yearbooks are now designed and compiled using computer software. Yes, ‘computer software’ is digital, but the final product, a print yearbook, is the same product that has been around for one-hundred and sixty years.

The ‘digitized’ version of past yearbooks (some as old as 100 years!) are a great idea. Looking through one of this online was a real treat, a wonderful window into the past. But… they were painfully limited and while they are ‘digital’, they are not ‘digital’ in the true sense.

And PDF Yearbooks… don’t get me started! Please imagine a printed yearbook, opened on your lap. You are looking at two pages of the Senior Section, arguably the most important section in the book. There are 24 portrait pictures on each page. The physical dimension of those two pages are 17 inches wide by 11 inches deep. It looks nice there on your lap. Now, go ahead and reduce it to the size of a cellphone.

Oh my! Now the Digital Yearbook vs Traditional Yearbook fun begins. And when you’re done, your thumb and forefinger are going to be barking. Why, because you will be in a terminal battle to enlarge and move those pages around just to make one of the portraits large enough to recognize who it is. Looking at a page in the sports section is going to be even less fun (think you are going to recognize anyone in the team picture?).

The experience stinks! So why are there so many PDF Yearbooks running around the internet? Well, there are two reasons.

One is that it is relatively easy to digitize (scan) a print yearbook. The second is almost nefarious.

 

Why Traditional Yearbooks Are So Expensive?

You see, the print yearbook publishers KNOWS that Digital Yearbooks are a ‘thing.’ They were really late to that table. Why were they late? For the past fifty years at least, most graduating seniors BOUGHT a print yearbook when they graduated. They had a LOCK on the industry… a monopoly?

What happened? Two things. Prices always OUT PACED inflation. Go back and look at the records, yeah, I dare ya! Why reduce prices when everyone is going to buy your product anyway. I lunch with the President of a print yearbook company; this was quite a few years ago before ‘Presidents’ were renamed CEOs. I was new to the business and he was holding court. He let me know why the current inflation rate (it was 18%… so quite your whining about 12% loans) was not an issue… he was in the process of letting me know why his company’s prices that HE increased by 23% was not a problem. Yearbooks, he schooled me, are a once in a lifetime purchase. People will pay what the will need to pay, that’s just all there is to it!

He made me feel all warm inside (I was selling print yearbooks for him at the time). And… he was RIGHT! For the next number of decades, as explained, the prices of yearbooks went up faster than inflation. He couldn’t even imagine there was a Digital Yearbook vs Traditional Yearbook dustup coming.

Then, suddenly, that model was NOT working. Parents began pushing back on high prices. Students began pushing back on what they thought was a growingly irrelevant product. Sales were sliding three to five percent… per year… for a decade! And it is NOT getting better.

“Oh crap,” said former Presidents and now current CEOs of print yearbook companies. We gotta do somethin.’ And somethin’ they did. But nothin’ worked.

And the ‘Digital Yearbook vs Traditional Yearbook’ war was on!

The digital age had been a ‘thing’ for quite some time, but, well, doing something digital would be harmful to their HIGH margin print products, so, it was collectively decided, let’s just keep our heads in the sand, it’s so warm and dark there.

Hey, said one of the marketing guys/gals, let’s not do somethin’ digital, let’s do somethin’ kinda digital!

“Genius” was the cry from the former president’s current CEOs, “Make it happen.”

And make it happen they did! It was QR codes a go-go. Turn enough pages you were going to eventually run into one. It was all smiles in the executive suite. Until those $50 QR codes, reduced to $25 QR codes… to $10 QR codes just didn’t excite anybody who does not love hovering their phone camera over a printed yearbook page for thirty minutes to end up with a four-second video?
Interest plummeted. Not that it was high to start with. “Hey,” squawked the marketing guy/gal, “let’s give ‘em away for FREE!” “Genius” was the cry from the former president’s current CEOs, “Make it happen.”

Why Print Yearbooks Struggle to Go Digital

The did. But nobody noticed… or cared. There were more attempts to ‘go digital,’ but they weren’t relevant. They didn’t make sense. They were gimmicky. They weren’t a DIGITAL YEARBOOK.

To final answer the question that brought you here, Digital Yearbook v/s Traditional Yearbook (that’s a print yearbook!), we have to take a look at three things; what is the mission statement of a yearbook, what is a print yearbook, what is a digital yearbook?

The purpose of a yearbook is simply to preserve memories of an iconic event, generally, the graduation year of High School, or Junior High School, or Elementary School… or College/University, Medical School, Trade School, etc.

Exactly what defines a print school yearbook?

A print school yearbook is a collection of static memories. Photographs and text. Each photograph is a memory. Typically, between 88 and 160 pages (yes, there are 24-page school yearbooks and 500+ page school yearbooks).

Unfortunately, print school yearbooks are limited to the number of pages a school can afford. That means, aside from the student portrait pictures, there would be between 2000 and 5000 ‘memories.’

A print yearbook is also limited by time. A yearbook publisher needs from four to six weeks to prepare and print the book and then a week or so for shipping. By the middle of April, the yearbook shuts down! The memories have stopped.

But the memories haven’t stopped. The class picnic happened on May 1st; the baseball team won the championship on May 14th; one of the graduates forgot to get her picture taken by the photographer; on May 28th, the Prom happened! Additional photographs were suddenly found of Home Coming. GRADUATION happened on June 20th. One June 23rd, the Principal emailed to the Yearbook Advisor a smashing picture of himself. He wants it in the YEARBOOK!!! But the yearbook has already been published, how can… You can’t. It’s a print yearbook. Maybe he thought you were doing a digital yearbook?

Let’s talk about a Digital Yearbook.

The print yearbook debuted in the 1860’s. Digital yearbooks hadn’t been invented. Electricity was something Ben Franklin caught in a bottle, and even he didn’t really know what it was. Digital wasn’t even a word yet and cellphones weren’t even a dream anyone could have.

Yes, technology has come a very long way. But if you look at a school yearbook printed in the 1860’s and one printed in 2026, other than color, they are pretty much the same product. There is no other product I can think of that hasn’t really changed in 160+ years. Or 100 years.

So, in this comparison between the Digital Yearbook vs Traditional Yearbook, what’s the vs all about?

And this is where it gets interesting.

The digital yearbook, a true, cloud-based, interactive, digital yearbook preserves all the beloved traditions that have made the print yearbook a successful legacy product but then adds all the remarkably cool features digital offers.

For example, the above dissertation about six-week deadlines suddenly becomes mute. A digital yearbook needs seconds from publishing to ready for distribution. But, and this is a really big but, it can be added to AFTER it has been distributed!

Remember all those events that happened after the print yearbook had to be turned in to the yearbook publisher? And those pictures that were not available after the deadline? Everything can be put into the digital yearbook. The class picnic, the baseball championship, the Prom, those missing picture of one of the graduates and home coming. GRADUATION! Even the principal’s post-graduation picture that he thought made him look a little like Brad Pitt.

A yearbook is all about memories of an iconic year. Not SOME memories, but All of the memories. A print yearbook physical cannot preserve all of them. And as you will find out, it can’t do a lot of things.

But a Digital Yearbook can.

For example, a print yearbook is limited to the number of pages a school can afford. A Digital Yearbook can offer unlimited pages… unlimited pictures… unlimited memories. No event, activity, club, sport, end of year happening (like Graduation) will be left out. NOBODY will be left out. Digital makes yearbooks inclusive.

Digital also does something that Gen Z students crave… it adds VIDEO! They LOVE video! They take lots of video. Most of their videos are fleeting. But some, they want to save forever. A Digital Yearbook allows them to do that… the winning shot at the basketball game; one of the cast singing My Boy Bill in the school play; a crazy stunt; a crazy stunt that went wrong. As they say, if it wasn’t on video, it didn’t happen. Video is going to fundamentally change what a yearbook is and how people are going to interactive with them.

I have touched softly on an online yearbook being able to be updated, but there is more. Aside from adding things like graduation to the yearbook post distribution, there are multiple updating features that students (soon to be former students) will use for life.

My favorite section is called Future Events. This is where classmates can update milestone events of their life: Higher Ed, Careers, Marriages, Birth Announcements, Reunions.

Each Graduate and Faculty Member will have their own MY PAGE. This is like a personal yearbook, viewable to everyone, where they can tell their story, they can ‘brand’ themselves. They can also upload pictures for the rest of their lives.

A Digital Yearbook is a living archive!

And it does so much more. Classmates can stay connected through in app protocols. They can send each other (individual’s, custom groups, the entire class) text blasts. In their MY PAGE, they can leave any contact information they want, emails, cellphone, social medial access. It is up to each student to decide what info they want to leave.

Digital Yearbooks also solve problems. I often ask people where their High School Yearbook is. And the answer is… I DON’T KNOW! When pressed, most will recall putting it in a box. “Where is the box?” I do like to torture them. And the answer is… I DON’T KNOW! When someone annoying like me starts hammering students with the odd question ‘Where’s your yearbook is,’ they will simply reach into their pocked and holdup their phone… then walk away from someone asking such an odd question. But a Digital Yearbook cannot be misplaced or lost. It will be safely stored in the cloud.

Oh… digital is so cool! You have, or will, pay close to $100 for your yearbook (in 2026, the average cost is $72). And, as addressed way above, the cost of a print school yearbook is not going down. A Digital Yearbook costs around $15. One time cost, no additional charges. And not only is it cheaper, but it does the job is was designed to do quite a bit better than a print product as is being discussed here.

Can Print and Digital Yearbooks Coexist?

Print yearbooks are important. I do not want them to go away. You should have one as an archival copy to touch, hold, smell (I love the smell of a lightly moldy book). But for the price of a lunch, you should also have a Digital Yearbook that has your entire school year preserved, that can be updated, that keeps you connected to your classmates, that has everything that happened preserved. That has VIDEO! Digital and Analog can live together. Ain’t life grand.
